Our 12-Step SureFind Process
1. Secure Intake
We will send a driver to your facility, securely receive your documents, barcode them into our inventory tracking system, and follow them throughout their entire lifecycle from paper to digital to final disposition.
2. Pilot Box
Using a sample from the documents provided, ScansAmerica performs the entire conversion process on a sample to uncover any hidden challenges that commonly occur with new projects.
3. Customer Feedback
Using the converted sample from the Pilot Box step, you will view an electronic sample of your scanned documents to verify it meets your requirements. Once approved, the balance of your project will be moved into full production, described below.
4. Document Prep
We work through every document to remove fasteners, straighten bent pages, repair damaged pages and prepare all pages to be scanned.
5. Scan
Using the latest LED-light sourced, high-speed production level scanners, customers' documents are scanned with the highest image quality possible.
6. Scan QA
Our state-of-the-art scanners use ultrasonic multi-feed page detection that stops scanning if more than one page is fed into the scanner. Projects are monitored via LED screens in real-time that look for folded documents, streak lines and other imperfections.
7. Image QA
ScansAmerica checks a subset of documents for scanning accuracy and quality and corrects if necessary.
8. Index
ScansAmerica indexes or creates metadata for every converted document and creates a filing or folder system at the your request.
9. Index QA
Using a new team with fresh eyes to verify accuracy, all index fields are checked against the original document.
10. OCR-Full Text Searchable
ScansAmerica will perform an Optical Character recognition process that allows for full-text search capabilities for all of your documents if requested.
11. Final QA
One last, high-level quality assurance step is taken before exporting your documents and preparing them for delivery.
12. Image Delivery
ScansAmerica can deliver files as .pdf or .tiff files, via SFTP, physical disk or in a cloud-based document management system based on your needs. Our professional services team can also integrate your images into your system of choice.
